Organizational Overview
Physicians for Human Rights was founded in 1986 by five physicians who were united in the belief that health professionals, with their specialized skills, ethical duties, and credible voices, are uniquely positioned to prevent harm and promote respect for human rights. Since its founding, PHR has built a long and distinguished record of accomplishment by conducting groundbreaking investigations and advocacy, in concert with strategic partners.
PHR’s approach includes extensive documentation of the use of illegal and inhumane weapons in armed conflicts, attacks on civilians, and the physical and psychological impacts of torture and sexual violence as a weapon of war. Other core activities include protecting the rights of those seeking asylum in the United States, documenting the harms of reproductive violence, and halting attacks on medical facilities and frontline health professionals.
Role Description
We are seeking a qualified Human Resources & Admin Coordinator to join our dynamic team. The HR & Admin Coordinator will play a pivotal role in supporting various HR functions, contributing to the efficient and effective operation of our human resources department. This position requires a detail-oriented and organized professional with excellent interpersonal skills.
Responsibilities
HR Administration and Suppor:
- Support the Director of Human Resources in delivering HR initiatives that improve employee experience, organizational effectiveness, compliance, and operational excellence.
- Manage the recruitment process, including job postings, candidate screening, and scheduling interviews. Manage the internship program.
- Assist with HRIS reporting and client relationships.
- ·Coordinate new hire orientation programs and assist in onboarding processes.
- Maintain accurate and up-to-date employee records in compliance with company policies and legal requirements.
- Ensure confidentiality and security of HR information.
- Manage consultant contracts including ongoing renewals.
- Address employee inquiries related to payroll and assist with resolving discrepancies.
- Support benefits administration activities, including enrollment, changes, and terminations.
- Address employee inquiries regarding benefits programs.
- Assist in maintaining compliance with federal, state, and local employment laws and regulations.
- Keep abreast of changes in labor laws and HR best practices.
- Act as a point of contact for employee relations matters.
- Assist in resolving employee concerns and conflicts.
- Coordinate training programs and professional development initiatives.
- Monitor training completion and maintain training records.
- Participate in HR projects as assigned, providing support and contributing to project goals.
- Compile HR metrics and reports to support decision-making processes.
- Assist in analyzing HR trends and patterns.
- Support employee engagement initiatives, staff events and internal communications that contribute to a positive workplace culture in a hybrid and remote capacity.
IT Management
- Oversee the onboarding and offboarding setup, including IT accounts and systems access.
- Manage laptop and inventory distribution, ensuring proper tracking and maintenance.
- Collaborate with the IT department to address technical issues and support employee IT needs.
Office Management
- Oversee building vendor management and office facilities including the end-of-lease process for the New York office.
- Maintain the central filing system for PHR’s official records and other organizational materials, including office safety and knowledge of OSHA regulations.
- Ensure that office supplies and materials are stocked and organized.
- Other tasks assigned.
Qualifications of the Ideal Candidate
- Bachelor’s degree in Human Resources, Business Administration, or a related field.
- 3-5 years of progressively responsible experience supporting human resources, office administration or people operations.
- Strong understanding of HR practices, policies, and employment laws.
- Excellent organizational and multitasking abilities.
- Effective communication and interpersonal skills.
- Detail-oriented with a high level of accuracy.
- Proficient in MS Office applications.
- HR certification (e.g., PHR, SHRM-CP) is a plus.
- Knowledge of HRIS systems (e.g. benefits, payroll, etc).
Salary and Benefits
This is a full-time position, with a 90-day probationary period, located in New York, New York with a hybrid work model (2-3x week in the office). Salary range is $70,000-75,000 and is commensurate with experience.
